Staff portals in the app

The same app carries two separate staff logins. If you are a dispatched responder or a gate security officer, this page is yours. Ordinary members never need either one.

Two staff portals

On the sign-in screen, below the normal login form, is a section headed STAFF PORTALS with two entries:

Emergency Personnel
For responders. Manage assigned cases, share live GPS with command, update status, file reports.
Estate Security
For gate officers. Verify visitor codes, record entries and exits, review gate history.

Both are separate credential sets, issued to you; you cannot reach them with a member account. From either portal, a link at the bottom takes you back to the normal login.

Emergency Personnel console

Sign in at Emergency Personnel Access: "Login as emergency personnel to manage assigned cases and share live GPS." Enter your personnel email and password, then Login as Emergency Personnel.

The console has two tabs: Emergency Personnel Console (your live cases) and Dispatch History.

Your assigned cases

With nothing assigned you see: "No assigned cases yet", then "When command assigns you to an SOS alert or service request, it will appear here."

Each assigned case card shows:

  • Whether it is an SOS Alert or a service request (ambulance, towing, escort, incident).
  • The subject's location on a map, with your own live position marked "My live location".
  • ETA: distance in km and estimated minutes.
  • A Directions button that hands the destination to your maps app.

Sharing live GPS

Start this the moment you are dispatched

Your live position is what lets the person waiting for you watch you approach, and lets command coordinate multiple units. It is not optional in practice.

  1. Tap "Start Live GPS"

Confirmation: "Live GPS shared with the command centre." The card then reads "Live GPS on · updated <time>".

  2. Grant location if asked

Two blockers you may hit: "Please enable Location Services." (device-level) and "Location permission is required for emergency personnel live GPS." (app-level).

  3. Stop it when you stand down

The same button becomes Stop Live GPS. Stop sharing when your shift or case ends.

Updating case status

Each case has an Update Status block. Choose the status that matches reality (acknowledged, en route, on scene, completed, cancelled) and the app confirms: "Status updated to <status>".

The subject sees the effect immediately: their Emergency Active screen switches to RESPONDER EN ROUTE with your name, and their ETA starts counting down. Keep the status honest; it is the only thing they can see.

Submitting a response report

Below status is Response Report.

  1. Write the note

The field prompts "Write report note…". Record what you found, what you did, who else attended, and how it ended.

  2. Tap "Submit Report"

    Confirmation: "Report submitted".

Your report lands in the subject's event notes history. They will read it. Write it accordingly.

Dispatch history

The second tab. Everything you have been assigned, with filters:

  • All · Active · Completed · Cancelled status chips.
  • From and To date pickers, and a Clear filters button.

Use it for shift handovers and for pulling up a case you attended last week.

Estate Security gate screen

Sign in at Estate Security Access with your security email and password, then Sign in to Gate. There is a Forgot Password? link here too.

The gate screen has three tabs at the bottom: Verify Gate, Gate History and Incidents. Your estate's name is shown at the top.

Verify Gate. Type the code, confirm the resident, record the movement.

Verifying a visitor code

  1. Type the code

Into the ENTER CODE field. You can also use the camera to scan, if your estate uses scannable codes. A camera failure says "Could not open the camera."

  2. Read the result

A valid code shows the resident, their house, and the visitor note. An invalid, expired or revoked code is rejected. A network failure says "Verification failed. Check your connection."

  3. Record the movement

Record Entry to let them in, Record Exit to let them out.

Attaching a visitor photo

If your estate has enabled it, you will see "Attach visitor photo (optional)". Take a photo before recording the entry. It is stored on the gate record and is the single most useful thing on it if anything goes wrong later.

Gate history and resident incidents

  • Gate History: every verification, entry and exit. Search by "code, resident, house…". Empty periods show "No records."
  • Incidents: incidents reported by residents of your estate through the app. Tap a resident's number to call them. Empty shows "No resident incidents."

Both lists refresh on demand. Use Active Codes and Currently Inside on the Verify tab as your live picture of who is expected and who has not left.

Signing out

Signing out warns you first: "You will need to sign back in to verify visitor codes." On a shared gate device, sign out at the end of every shift so the audit trail names the right officer.

Prefer a full screen and a keyboard? The same job can be done from the web gate security console.
