Estate manager
Running a gated estate on RapidShield: register it, add your residents and gate staff, set the entry-code rules, and audit every movement through the gate.
Register your estate
From the login screen choose Register your Estate: "Give residents secure visitor entry codes and gate management." Your registration is verified before it goes live.
- Estate details
- Estate name: e.g. Palm Grove Estate
- Estate address: street, city
- Anticipated residents: your expected household count
- Your manager account
First name, last name, email, phone, and a password (8+ characters, entered twice). Use the eye icon to check it before submitting.
- Referral code
Optional: entered in caps, e.g. JANE2025.
- Payment receipt
Optional: attach an image or PDF. The form confirms with "Selected: <filename>" and its size.
- Submit and wait for approval
"Registration received", then "Your estate is pending approval. We've emailed your login details. You'll be notified once approved."
Estate dashboard
Titled with your estate's name. Four stat cards give you the live picture:
Below them, four shortcuts: Manage Residents (add individually or via CSV), Gate Staff (add security personnel), Code History (audit codes & entries) and Settings (code TTL & entry/exit rules).
Residents
Sidebar → Residents. A searchable table, headed "Search name, email or house…", showing each resident's Email, House and a Remove action.
Adding one resident
- Click "Add Resident"
Fill in First name, Last name, Email address, Phone (optional) and House / unit address.
- Use their real email
The Estate tab only appears in the app for the exact address you enter here. A typo means the resident calls you saying "it's not working".
- Get the house number right
It is what the gate officer sees when verifying a code. "12B" is useful; "House" is not.
Bulk-import residents
The Residents page accepts a CSV with these columns, in this order:
firstName, lastName, email, phone, houseAddress
- Build the file
Header row exactly as above. One resident per row. Leave
phoneblank rather than removing the column. - Upload it
The portal parses and imports the rows.
- Spot-check the result
Search for two or three names in the table afterwards and confirm the house addresses landed in the right column.
Most estates already keep a resident list in Excel. Rename the headers to match the five above, delete the extra columns, save as CSV, upload. That is the whole job.
Gate Staff
Sidebar → Gate Staff. These are the security officers who verify codes at the gate.
- Click "Add Gate Staff"
First name, Last name, Email address, Phone (optional).
- Set a password, or leave it blank
The field says it: "Password (optional, auto-generated if blank)". Leaving it blank generates one and emails it to them.
- Show them how to sign in
They can use the web gate console or the Estate Security portal in the mobile app. Both do the same job.
Give each officer their own account and remove them when they leave. The gate history records who verified each code, and that audit trail is worthless if six people share one login.
Code & Entry History
Sidebar → Code History. Your full audit trail, with two views and rich filtering.
- Codes: every code generated, showing the Resident, the Visitor note, when it was Created and when it Expires, plus its outcome: used, Expired or Revoked.
- Entries / Exits: every actual movement through the gate.
Filter by direction (All directions, entry, exit) and by status (All statuses, expired, revoked), then search.
This screen answers the questions that come up after the fact: who let that vehicle in on Tuesday night? · which resident generated the code? · did the visitor ever leave?
Resident Incidents
Sidebar → Incidents. Incidents that residents reported through the mobile app, surfaced to you.
Each record can carry:
- The Resident who reported it and their contact.
- A Note from resident: their description in their own words.
- Attachments: photos and video they uploaded.
- Location and, where relevant, Destination.
Use it as the estate's incident register: a broken street light, a suspicious vehicle, a burglary, a flood at the back gate. Your gate staff see the same list on their console.
Entry Code Settings
Sidebar → Settings, headed Entry Code Settings. Three controls that change how the whole estate works, including what your residents see in their app.
| Setting | What it does | How to choose |
|---|---|---|
| Code validity (minutes) | How long a generated code stays usable. Residents see it as "Codes are valid for N minutes". | Long enough to survive traffic, short enough that a leaked code is useless. 30 to 60 minutes suits most estates. |
| Code mode | Entry only, Exit only, or both. Determines which options residents get when generating a code. | Use both if you want a full in/out audit trail. Entry only is simpler but you lose exit records. |
| Allow gate security to attach a visitor photo | Adds an optional photo capture to the gate verification screen. | Turn it on. A photo attached to an entry record is the most useful evidence you will ever have. |
Shortening code validity or switching off exit codes changes what residents see in their app with no warning on their end. A one-line notice saves you a week of confused calls.
Billing
Sidebar → Billing. Shows your Subscription, when it Expires and the Amount due.
- Submit a payment
Choose the Months of coverage you are paying for.
- Attach the receipt
Upload proof of your transfer or payment in the Receipt field.
- Check payment history
Every submission is listed with its receipt, so you can see what has been recorded and what is still pending review.
Let the subscription lapse and residents lose entry-code generation, and the gate falls back to whatever manual process you had before. Renew ahead of the expiry date.
